Introduction: AT Business is looking for a skilled Bid & Contracts Executive to join their team in Accra. As the Executive for Bid and Contracts, you will play a pivotal role in managing the bid process, contract administration, and ensuring compliance with company policies and legal requirements. This is an exciting opportunity to work collaboratively with the legal team, develop persuasive proposals, and contribute to the success of AT Business.

Job Summary: As the Bid & Contracts Executive, you will report to the Customer Experience, Marketing & Operations Manager and be responsible for directing and developing AT Business and customer contract administration function. Your role involves collaborating with the legal team to ensure proposals, negotiation processes, and contract administration align with AT policies and legal requirements. Additionally, you will identify bid submission opportunities, conduct research, and craft detailed proposals to address client and AT Business concerns.

  1. Develop Standard Sales Templates:
    • Create sales templates for managing the bid process, bid documents, and CASOFs based on best-in-class examples.
    • Establish bid/no-bid and bid sign-off procedures in line with EBU sales governance teams.
  2. Analyze Bid Requirements:
    • Fully understand bid requirements by analyzing relevant requests for proposals (RFP), tender documents, etc.
    • Work with account partners and sales engineers to develop appropriate propositions.
    • Ensure each bid complies with internal governance and customer specifications.
  3. Coordination and Compliance:
    • Coordinate materials, services, and stakeholder delivery schedule for all bids & RFPs.
    • Interpret contract and tender documents, attending progress meetings on-site for bids.
    • Enforce KPIs, SLAs, deadlines, and conditions outlined in bid and contracts documents.
  4. Contract Administration:
    • Prepare and review sales and purchase contracts, negotiating terms with internal and external partners.
    • Analyze potential risks, stay updated with legislative changes, and maintain organized contract records.
    • Create language standards and drafts for existing and new contracts, ensuring compliance with legal requirements.
  5. Customer Relations:
    • Maintain effective working relationships with internal and external suppliers and customers.
    • Address concerns of clients and AT Business to maintain positive relationships.
  6. Performance Data and Support:
    • Provide performance data to support management decision-making.
    • Act as an enterprise SPOC on quality checks for AT Business.

Qualifications and Experience: To be eligible for the position of Bid & Contracts Executive, you must have the following qualifications and experience:

  1. Degree/professional qualification in business studies or equivalent.
  2. Proven work experience as a contract & bid administrator or in a relevant role.
  3. 3-5 years of experience in a telecommunications Business Solutions environment.
  4. Proficiency with MS Office Suite, including Microsoft Word, Excel, and PowerPoint.
  5. Strong analytical and organizational skills.
