Job Purpose and Organizational Context: UN-Habitat is the United Nations agency responsible for promoting socially and environmentally sustainable towns and cities, with the objective of providing adequate shelter for all. In Ghana, UN-Habitat works in partnership with various stakeholders, aligning with the country’s development priorities and the Sustainable Development Goals (SDGs) for People, Planet, Peace, and Partnerships by 2030. As an agile and collaborative UN-Habitat office in Ghana, we are seeking a Programme Associate to join our team.

Under the direct supervision of the UN-Habitat Head of Office, the Programme Associate will provide support to the UN-Habitat Office in Ghana, with a primary focus on the Smart SDG Cities Programme. The role requires ensuring high-quality, accurate, and consistent work, promoting a collaborative and client-oriented approach consistent with UN-Habitat rules and regulations.

Key Responsibilities:

  1. Implementation of Country Programme Activities:
  • Ensure full compliance of operational processes and records with UN/UNDP rules, regulations, policies, and strategies.
  • Contribute to the mapping of business processes and the development of internal Standard Operating Procedures (SOPs) in consultation with relevant stakeholders.
  • Act as the focal point for Ghana IPMR.
  1. Support in Management of Ongoing Project Activities:
  • Provide inputs to the development of work plans and operational budgets.
  • Assist in logistics arrangements, agenda preparation, and coordination for workshops and events.
  • Support the coordination of planned events related to the country programme activities.
  • Provide information and coordinate payment requests to UNDP for required goods and services.
  • Assist in minute-taking and drafting research reports as required.
  • Support drafting inputs into programme/project reports, particularly on administration and finance matters.
  1. Administrative and Logistical Services:
  • Facilitate appointments, meetings, and visitor arrangements, including minute-taking when required.
  • Organize logistics for missions, including travel and hotel reservations, travel authorizations, and visa requests.
  • Maintain records, documents, and files related to projects and programmes.
  • Handle assigned correspondence and administrative tasks, including creating E-requisitions.
  • Provide administrative support for meetings, conferences, workshops, and retreats.
  • Supervise vehicle transportation logistics, ensuring regular maintenance and insurance.
  • Assist in proper control of supporting documents for payments and financial reports.
  • Ensure the receipt of goods and services.
  • Support the maintenance of a proper filing system for financial records, ensuring the safekeeping of confidential materials.
  • Assist in organizing, executing, and coordinating logistical requirements for successful events.
  • Act as the custodian for office stationery supplies, including maintaining stock lists and distribution.
  1. Office Maintenance and Assets Management:
  • Act as a backup for the Asset Focal Point in maintaining asset management records.
  • Keep files and records relevant to office maintenance.
